TERMS AND CONDITIONS 

 

 

All properties managed by Chelan Vacation Properties, LLC (“CVP”) are individually owned and furnished according to the tastes and preferences of the owner of the particular rental property.  

 

Rental policies and procedures for particular units may be subject to variations and exceptions according to individual property owner’s specifications.  Check under the “description” section of the property you are interested in renting for any changes to the policies as set forth here.  The policies and procedures set forth here will apply unless there is an applicable change set forth in the “description” section of the particular property, in which case the changes set forth in the “description” section will apply.  

 

Most policies and procedures apply to all CVP rental agreements, regardless of the particular property or owners involved.  For example, the use of a CVP property is limited as follows:

Guests must arrive and depart on the agreed upon calendar dates and times.

Occupancy is limited to the number of people listed in the rental agreement.

No smoking is permitted inside any rental unit.

Pets are not allowed on the rental property, unless property specific exception and noted on reservation

Housekeeping services are not provided unless special arrangements are made in advance.

No tents, campers or motor homes are allowed on CVP properties unless special arrangements are made in advance.   

 

CVP will make every reasonable effort to have any malfunctioning appliances (including air conditioners, hot tubs, dishwashers, televisions, etc.) repaired during the stay.  However, there will be no refunds given for inoperable appliances that were repaired or replaced.

 

CVP reserves the right to request a list of names and ages of any person(s) who will be staying at the CVP property, and the renter agrees to provide such information upon request.  

 

If prior to arrival CVP learns that the property has become un-rentable for any reason, CVP will notify the pending renter as soon as possible and will attempt to find a suitable replacement location.  If a replacement property is not found or mutually agreed upon, CVP will promptly refund all money for the unused portion of the reservation.

 

Qualified renters must be 25 years of age or older.  The rental clients listed on the rental contract must be among the occupants physically occupying the rental unit.

 

CVP provides vacation accommodations for “family groups” and is limited to their use only.  Use of CVP properties for “special events” such as weddings and associated receptions and gatherings is prohibited.  Rentals to groups of non-family groups such as sororities, fraternities, college and high school graduations etc. are also specifically prohibited.  

 

Violation of these policies and procedures may lead to termination of the rental agreement, and renters may be required to vacate the rented unit immediately.

 

RATES

 

Rates and minimum stays may vary according to owners’ wishes.  Rates are subject to change without notice and are itemized with each property listing. CVP reserves the right to change quoted rates prior to confirmation of reservation(s).  

 

TAXES AND FEES

 

Chelan County’s base tax rate is currently .081%.  Properties located in the unincorporated areas of Chelan County are subject to an additional .02% bed and breakfast tax, while those within the City of Chelan are subject to a .03% bed and breakfast tax.  Properties located in Douglas County are taxed at .076%.  Applicable registration (booking/cleaning) fees are listed on the website for each CVP property.  Tenant agrees to pay any such taxes and fees that apply to the tenant’s booking or stay at a CVP property, including any increase that may become effective after booking and prior to tenant’s occupancy.  

 

CHECK-IN/CHECK-OUT PROCEDURES

 

 

 

Check-in time is 5:00 p.m. or later.  Check-out time is 10:00 a.m. or earlier.  Strict adherence is required.  Additional fees may be applied for failure to comply.

 

Upon arrival, the tenant agrees to review property use information which is provided inside the rental unit or otherwise made available to the tenant.  Important information regarding use of the property and amenities must be reviewed as soon as possible, such as parking instructions (where applicable).

 

Unless pre-approved, tenant understands and agrees that failure to check-out by 10:00 a.m. will result in an additional charge of $5.00 per minute of extended occupancy.  

 

Tenant agrees to follow check-out procedure that has been posted in the rental unit or otherwise made available to the tenant, e.g., garbage is to be removed to outside receptacles as indicated all dishes are to be washed and put away.  

 

Failure to follow the check-out procedure may result in additional charges being posted to your credit card, e.g., missing keys are (minimum) $25.00 each, garbage removal (minimum) $25, kitchen cleaning (minimum) $25.00, carpet cleaning (if needed) is charged according to cost as shown on professional carpet cleaning invoice.  

 

BOOKING PROCEDURES AND PAYMENT SCHEDULE

 

Reservation requests must be verbally approved by one of CVP’s reservation agents, whether the reservation was placed by phone or with CVP’s online booking option. Email Confirmation will then be sent by CVP office. CVP approval will generally not be given until after CVP receives a list of the names and ages of the person(s) who will be occupying the rental property.  

 

Payment arrangements must be made by the same person in whose name the reservation was made, and whose initials and signature will also be required on the rental agreement.  

 

Upon booking approval, a reservation deposit is required with a major credit card.  At that point a tentative reservation is listed with CVP.  

 

The total contract amount must be received by CVP no later than 90 days prior to the scheduled arrival date.  If such amount is not received by the date due, then CVP may charge the amount due to the credit card that paid the reservation deposit.  In the event that a reservation is made less than 90 days prior to the scheduled arrival date, then the total amount due must be paid at the time of booking.  

 

If CVP is unable to process final payment on tenant’s credit card for whatever reason, CVP will attempt to contact the listed tenant by whichever correspondence method(s) were provided by the tenant to advise them that payment is past due.  If a response regarding final payment is not received within a reasonable time at CVP’s sole discretion, then this reservation may be considered canceled by the tenant and CVP will then proceed in accordance with the cancellation policy.

 

CANCELLATION POLICY

 

The reservation deposit is not refundable if this reservation is canceled.  If the reservation is cancelled 90 days prior to occupancy, then 80% of the reservation costs excluding cleaning fee will be forfeited, if cancelled within 30 days of occupancy then entire reservation costs excluding cleaning will be forfeited. 

 

 

DAMAGE POLICY

 

Each reservation requires either (1) payment of a $500 cash damage deposit, or (2) Rental Unit Damage Protection Plan. This Rental Unit Damage Protection plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of [$1500.00]. Any damages that exceed [$1500.00] will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of [$1500.00]. Certain terms and conditions apply. The Rental Unit Damage Protection can be purchased up to, and including at, check-in. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly [Chelan Vacation Properties] any amount payable under the terms and conditions of the Rental Unit Damage Protection. Please contact [Chelan Vacation Properties] directly if you do not wish to participate in this plan or assignment.

 

 

If tenant has opted to pay the $500 cash damage deposit, then tenant agrees that no portion of such deposit may be applied to additional rental time or fees or other charges accrued by tenant.  Tenant further agrees that if the reservation is cancelled or eviction occurs, then the entire deposit will be forfeited.  If the following conditions are met, the entire $500 cash deposit will be fully refunded:  (a)  no damage was done to the rental property other than reasonable wear and tear, (b) all entry keys or cards are accounted for and the entry key was returned to the key box, (c) no items were missing, (d) all doors and windows were closed and secured upon departure, (e) all check out procedures were followed by tenant, (f) no miscellaneous charges were incurred, e.g., unpaid delivery or rental fees or other charges.

 

 

Travel Protection Insurance 

 

For those who have chosen to purchase additional travel Insurance please click here or copy/paste into your browser www.vacationrentalinsurance.com/330CERT to obtain your travel insurance policy or certificate of insurance for your Covered Trip if you have paid for or authorized payment for the travel insurance. The travel protection, if purchased, includes insurance coverage for Trip Cancellation, Trip Interruption, Travel Delay, Baggage Delay, Baggage and Personal Effects, Accidental Death & Dismemberment, Emergency Assistance, Medical or Dental Expense, and Rental Car Damage. Please read your document carefully as certain limitations, restrictions and exclusions apply. The insurance coverage is underwritten by Stonebridge Casualty Insurance Company and the non-insurance assistance services are provided by CSA's designated provider. EVICTION POLICY

 

Tenants are subject to immediate eviction for any of the following behaviors, and tenant agrees that in the event of eviction all rent and associated fees and charges, as well as the $500 cash security deposit if any, shall be forfeited:  (1) The tenant(s) listed on the rental contract are not included among the actual occupants of the rental unit, (2) The number of occupants exceeds the number of contracted guests, (3) Neighborhood complaints of excessive noise, loud music, foul language or otherwise disturbing the peace, regardless of whether law enforcement have responded to a complaint, (4) Smoking inside the rental, (5) Pets on the property without prior written approval, (6) Use of tents, campers, motor homes or RVs on the rental property.  

 

HOLD HARMLESS

 

Tenant agrees to defend, indemnify and hold harmless CVP and the property owners from and against all claims, demands, loss or liability of any kind, including cost of defense, arising out of or in any way connected with the use of the CVP property by tenant or tenant’s guests or other occupants.  It is further agreed that CVP and property owners are not responsible for lost or stolen items.
